The club continues to be highly dependent on the willingness of members to contribute their time to support the running of the club and events.

It is easy to volunteer!

If you are interested in giving back to the club on an ad-hoc basis, we often need a group of willing volunteers on short notice to assist with various recurring activities. Volunteering announcements are published on our social platforms with details of what is needed. These often relate to:

  • Marshalling and timekeepers at club hosted races, local events and organised league races
  • Assisting and officiating at home track and field fixtures (some roles require formal training)
  • Run leaders to facilitate the social group runs on Thursday evenings at the clubhouse
  • Perform various roles to host the monthly club handicap on the last Thursday of each month
  • Cooks to prepare food and bar staff to serve drinks at the clubhouse kitchen (open and close the kitchen) after the Thursday evening social group runs and training sessions
  • Helping club captains and team managers to organise on the day race registrations and runner administration
  • Contribute content and event reports for use on the club website and newsletters

Current Vacancies

As the membership has expanded quickly in recent years, we plan to keep this as an iterative process and grow the list of roles for volunteers based on upcoming club requirements and also informal feedback from the membership. Please see below for a list of current club role vacancies that are open to applicants. Handover and support is available to help with the smooth transition of knowledge.

Membership administrator (x3) [URGENT]

Role description

Work in a team of 2-3 to maintain accurate and complete membership records; administer payments of fees via ‘GoCardless’, administer timely renewals, registration with the EA, respond to ad-hoc membership queries from prospective and/or existing members.

Indicative time commitment

<2 hrs per week per person. Including some peak times for high volume new registrations / EA renewals (eg. April EA membership year-end, January new year, September start for Met league sign ups)

Boswall League administrators (x2)

Role description

Full administration of the internal club championships: launch at start of the season, recordkeeping and verification of ongoing results, maintaining master scoring, preparation of end of season results, prize giving at AGM.

Role description

Act as the first point of contact to inbound queries to the club info@ public email inbox. Respond with the suite of prepared stock responses; direct individuals to other members of the club as appropriate.

Thursday social group run organisers

Role description

Welcome new joiners and host the weekly group run session from the clubhouse. Promote participation, answer general FAQs, walkthrough housekeeping rules, outline how the member-led group runs and distances are formed on the night. General club announcements.

Indicative time commitment

Able to commit to rotating and sharing the responsibility to be at the clubhouse from 6:30 – 8:30pm each Thursday evening to host the club session.

Website administrators (x2)

Role description

Maintain and administer all aspects related smooth operation of the public website: content, functionality, ongoing upgrades (eg. shop / membership portals).

“Run for you” co-ordinator

Role description

Take the lead role to promote, manage and administer the “Run for you” organised coaching programmes. (building up to the 5k distance / improver course to build up to the 10k distance). This is open to prospective and existing club members. Tasks include managing participant applications and registrations; hosting in person or virtual programmes that follow a weekly training cycle for a set number of weeks; responding to participant queries and provide general coaching support; administer the club webpage and announcements.

Mike Penman Open 5 – Race director

Role description

Lead and coordinate full race event planning and execution (with full support of committee and volunteer roster). Support provided prior events team available as part of handover well in advance of 2023 event

Mike Penman Open 5 Team (x2)

Role description

Core group to work with the Roach family and support the Open 5 Race director to perform the responsibilities outlined above. And coordinate on-the-day event volunteers

Club 5000m track champs – Committee (x4)

Role description

The 5000m track champs is a recent addition to the club calendar. To be scheduled around the end of June 2023. Committee role to organise all aspects of preparation and on-the-day event logistics (with the support of volunteers)

Indicative time commitment

Estimate a committee of 4, with everyone contributing equally would require 2/3 hours per week:
– planning stage: venue coordination, race starter, licensing paperwork, race announcements and managing entries.
– pre-event prep: coordinate final entry lists, seeding race line-ups and coordinating volunteers to support the event.
– Event night: manage race schedule, direct volunteers & athletes and co-ordinate results.

Officials Secretary

Role description

Supporting officials within the club through various tasks including (not limited to): Collating all existing officials within the club, and those technical officials required outside listing their level and experience; Encouraging and supporting individuals attending level 1 courses to complete the process attaining their official’s qualification; Arrange mentors to support; Maintain an accurate up to date list of all graded officials officiated with the county.

Volunteering at Junior club activities

To help expand our activities for this age group we would happily welcome more parents to come forward to get involved. If you do express an interest, you will be asked to complete our volunteer declaration form as part of our child safeguarding policy.

Track & Field officiating

Our great sport requires more volunteers than most. At the core, there are the technical officials – field judges, track judges, timekeepers, photo finish judges and endurance officials. Whether it is the Met XC league, Chingford league, Southerns Athletics league, any championship or open event you compete in, they all need qualified people to organise them.

UK athletics organises ongoing courses, many nowadays online. At the start you become a Level 1, doing local events. At Level 4 you are at the Olympics or World championships. The UK produces more world class officials than any other country and the chiefs last year in Belgrade, Oregon, Birmingham and Munich were all British.

The attached flyer explains how to make a start on the officials pathway. If you are interested, please take a look. There is a fee, usually £20 per course. But as long as in return you help at club events, the club VPH&THAC would look to reimburse this cost.
